This Cookie Policy describes how Heidi ("Heidi", "we", "us" or "our") uses cookies and similar technologies on our marketing website at hi-heidi.ai and our application at app.hi-heidi.ai (together, the "Services"). It explains what these technologies are, why we use them, the specific categories we rely on, and how you can control them.

This Policy should be read together with our Privacy Policy, which describes in more detail how we handle personal data as an AI meeting copilot, including account and profile information, meeting recordings, transcripts, AI-generated summaries and scores, and data you choose to connect from your calendar, contacts, email or CRM. Where cookies collect information that can identify you, that information is treated as personal data and is governed by our Privacy Policy.

Heidi is a European-hosted, GDPR-oriented service. We aim to keep our use of cookies limited, transparent and proportionate to what is genuinely needed to run the Services.

A cookie is a small text file that a website or application stores on your device (computer, tablet or phone) when you visit. Cookies let the Services recognise your device, keep you signed in, remember your preferences and understand how the Services are used. Cookies may be "session" cookies, which are deleted when you close your browser, or "persistent" cookies, which remain until they expire or you delete them.

"Similar technologies" refers to other mechanisms that perform comparable functions, such as local storage and session storage in your browser, software development kits, pixels or tags, and device or browser identifiers. In this Policy, we use the word "cookies" as a convenient shorthand for cookies and these related technologies.

Cookies may be set by Heidi directly ("first-party" cookies) or by a third-party provider whose service we use to deliver part of the Services ("third-party" cookies), as described further below.

We use cookies to operate the Services securely and reliably, to remember your choices, and to understand how our website and application are performing so that we can improve them. On app.hi-heidi.ai, cookies and local storage are central to keeping you authenticated and maintaining your session as you move between features such as meeting preparation, live coaching and post-meeting follow-ups.

We deliberately keep our cookie footprint modest. We do not use cookies to build advertising profiles about you, and we avoid unnecessary third-party ad-tracking technologies. We also do not use the content of your meetings, audio, video, transcripts, summaries or scores, for advertising or cross-site tracking of any kind.

These cookies are required for the Services to function and cannot be switched off in our systems. They are typically set in response to actions you take, such as logging in, submitting a form or setting your privacy preferences. Without them, core parts of the Services, particularly the application at app.hi-heidi.ai, would not work.

Essential cookies support functions including authentication and keeping you signed in, session management, account security and fraud prevention, load balancing and routing of requests across our infrastructure, and remembering your consent choices for non-essential cookies. Because these cookies are strictly necessary to provide a service you have requested, they do not require consent under EU/EEA law, but we still describe them here for transparency.

Functional cookies allow the Services to remember choices you make and to provide enhanced, more personal features. For example, they may remember your language, your interface and display settings, and other preferences so that you do not have to reconfigure them on each visit.

These cookies are not strictly essential, but they improve your experience. Where required by law, we set them only with your consent, and you can withdraw that consent at any time as described in the "Your choices and consent" section below.

Analytics cookies help us understand how visitors and users interact with our website and application, for example, which pages are visited, which features are used, and where errors or performance problems occur. We use this information in aggregate to measure and improve the quality, reliability and usability of the Services.

We take a privacy-respecting approach to analytics. Wherever practical we rely on aggregated and de-identified measurement rather than tracking individuals across sites, and we do not sell this information or use it to serve advertising. Where required by law, analytics and performance cookies are set only with your consent, and you can decline them without losing access to the core Services.

Some cookies are set by trusted third-party providers that help us deliver parts of the Services. When you carry out an action that involves such a provider, that provider may set its own cookies and process the associated information under its own privacy and cookie policies.

The most notable example is payment processing. Paid plans and checkout are handled by Stripe, and Stripe may set cookies to process your payment securely and to help prevent fraud when you subscribe or manage billing. If we use a third-party analytics tool, it may likewise set cookies of the kind described in the analytics section above, subject to your consent where required.

We do not knowingly permit third-party advertising networks to place ad-targeting cookies through the Services, and we do not list named ad networks here because we do not use them. We encourage you to review the cookie and privacy notices of any third-party provider whose services you engage through Heidi.

Heidi lets you connect external accounts and tools, such as your calendar, contacts, email and CRM, and works with a limited set of vetted sub-processors, including Stripe (payments), alongside providers for meeting recording, EU hosting, AI processing and voice. Most of these providers process data through secure server-to-server connections rather than by setting cookies in your browser.

Where connecting or using an integration does involve cookies or similar identifiers in your browser, for example, during an authentication or checkout flow hosted by a provider, those technologies are governed by that provider's own policies. Connecting an integration does not authorise advertising cookies, and the content processed through these integrations is never used to train foundation or AI models; our vendors are contractually restricted from training on your content.

You are in control of non-essential cookies. If you are located in the EU/EEA, United Kingdom or another region with similar rules, we set functional, preference and analytics cookies only after you have given your consent, typically through the cookie banner or preference controls presented when you first use the Services.

You can accept or reject non-essential cookies at that point, and you can change your mind at any time by reopening our cookie preference controls or by adjusting your browser settings. Rejecting non-essential cookies will not prevent you from using the core Services, although some preferences may not be remembered between sessions.

Strictly necessary cookies cannot be disabled through our consent tools because the Services cannot function without them. If you block them at the browser level, parts of the Services, especially signing in to app.hi-heidi.ai, may not work.

Most web browsers let you view, manage, block and delete cookies through their settings. You can usually configure your browser to warn you before a cookie is stored, to reject certain categories of cookies, or to delete cookies that have already been set. The exact steps vary by browser, and browser help pages explain the options available to you.

Please note that blocking or deleting cookies may affect how the Services behave. If you delete cookies that store your preferences or consent choices, we may ask you to make those choices again on your next visit.

Some browsers offer a "Do Not Track" (DNT) signal that expresses a preference not to be tracked across websites. There is currently no consistent industry or legal standard for how DNT signals should be interpreted, so we do not currently respond to DNT signals in a specialised way.

Regardless of DNT, we do not use cookies to build cross-site advertising profiles, and where the law requires consent for non-essential cookies we honour the choices you make through our cookie controls. We will update this section if recognised standards for such signals are established.

We may update this Cookie Policy from time to time to reflect changes in the technologies we use, in the Services, or in legal and regulatory requirements. When we make material changes, we will update the "Last updated" note above and, where appropriate, provide additional notice through the Services or by refreshing our cookie consent controls.
